A supplier invoice listing refuels for several trucks is split into one row per line, and each line is assigned to the truck whose plate is printed on it. Any line can be corrected in the review.
Consumption is computed from the odometer between refuels. A missing odometer is estimated from the tachograph card data and marked as estimated, so an invoice without a reading still counts.
Each truck is compared with its own usual figure. Refuels that burn more or less than usual, or a distance too long for the litres bought, appear in Consumption alerts with a hint of the likely cause.
An identical image is flagged as a duplicate on upload. After reading, a driver ticket and an invoice line for the same truck, day and litres are matched and the later one is marked duplicate.
Choose Aggregate over the period or Strict tank-to-tank, hide chart months with too few kilometres, smooth the chart and set the alert thresholds under Modules → Fuel tickets.
In Fuel, choose the photo or PDF, the truck and, for a single ticket, the odometer. The company picks the type: Fuel ticket or Company invoice. Drivers only upload tickets.
The row shows Reading… and the list refreshes on its own. Diesel and AdBlue litres, amount, date, station and plate are extracted; an invoice becomes one row per refuel.
Press Review to see the image beside the extracted fields. Correct diesel, AdBlue, odometer, truck or date if needed, then Confirm. Only confirmed refuels count towards consumption.
Each truck gets a tile with L/100 km, fills, kilometres and litres, a six-month evolution chart and, when a refuel departs from the usual, a line in Consumption alerts.
JPEG, PNG, WebP and HEIC photos and PDF documents up to 20 MB. The phone camera can be used straight from the upload field. PDF invoices are read page by page, up to eight pages.
Diesel litres, AdBlue litres, amount and currency, date and time, station and, when printed, the odometer. An odometer typed at upload is kept even if the ticket shows another value.
When a refuel has no odometer, Tacho Manager reads the vehicle odometer for that plate from the driver-card files around that time; failing that, it interpolates between the truck's other refuels. Estimates carry an Odometer estimated marker.
Higher than usual, Lower than usual and Possible refuel with no ticket, each at warning or severe level. Top-ups and the full tank that follows are balanced together first, and unexplained gaps are kept out of the average.
Under Modules → Fuel tickets: Aggregate over the period or Strict tank-to-tank, minimum gap between refuels (default 150 km), minimum kilometres per chart month (500 km), ignore the newest refuel, chart smoothing and alert thresholds (default 12% and 25%).
Tickets uploaded by a driver are stored in the company account that granted access, never in the driver's own. The driver sees their own tickets read-only; consumption and alerts are company views. Trucks marked Sold/Retired are hidden from the truck list.
No. The reading runs on AI providers configured centrally by the Tacho Manager operator. If no provider is available, tickets wait at Reading… and are retried; you can still type or correct every value by hand in the review and confirm it.
The ticket is marked Failed with a hint to retake the photo in good light with the ticket flat. You can also open Review and enter the values yourself. Uploading the same file again is flagged as a duplicate, so take a new photo instead.
Yes, once the company opens the driver's record under Drivers and switches on Fuel tickets access while the module is active. Fuel then appears in the driver's menu; they upload tickets for the company's trucks and see their own tickets, without editing or consumption figures.
Provisional is the newest refuel reading lean, most likely a top-up that the next full tank will settle. Not in the average means an unexplained gap, such as a missing ticket or a loss, which is reported but kept out of the truck's figure and chart.
Fuel tickets is a module. New company accounts get it, together with every other module, for 30 days; afterwards it can be switched on from Modules. The core of Tacho Manager stays free.
