Terms and Conditions

By registering for or using Tacho Manager, you agree to these Terms and Conditions and acknowledge the related privacy and cookie information published for the service.

Tacho Manager provides tools for account registration, authentication, tachograph file upload, report generation, driver and vehicle administration, driver–company account linking, document storage with attached scans and expiry reminders, push notifications, and mobile smart-card workflows where supported.

Optional modules extend the core service: payroll computed from card data, live GPS tracking, AI-assisted fuel ticket reading, a legal working-time registry, a planning calendar for drivers and vehicles, and transport orders with electronic consignment notes (e-CMR).

Some modules are offered as paid add-ons or as part of subscription plans. Applicable prices, billing periods and activation options are shown inside the application before any purchase. Modules can be enabled or disabled per account according to the plan and settings in force.

New company accounts receive a free trial of all optional modules for 30 days from registration, without payment details. When the trial ends, module access stops automatically and the account continues on the free core service unless a plan or module is purchased; the application warns before expiry. Time-limited module grants expire on the date shown in the account.

• You must provide accurate registration and account information.
• You are responsible for maintaining the confidentiality of your login credentials and recovery email access.
• You must ensure that you are authorized to upload, process and manage the files and data you submit to the service, including photographs, documents and consignment data about third parties.
• You must not use the service for unlawful, abusive, fraudulent or unauthorized purposes.

Tachograph files, smart-card scans, fuel receipts and invoices, document scans and PDFs, cargo photographs and related uploads may be transferred to the server and stored for processing. Tacho Manager may use those files to generate reports, compliance indicators, payroll figures, consumption statistics, planning outputs and related account information.

Where enabled by the service configuration, uploaded files may be stored in encrypted form.

• Companies are responsible for the accuracy of the order and consignment data they enter; drivers and other parties are responsible for the check-ins, remarks and signatures they submit.
• Signatures are captured on-screen together with the typed name of the signatory, an optional ID number, the device GPS position and a timestamp. Once a consignment note carries a signature its content is locked and protected by a tamper-evident fingerprint.
• Each electronic consignment note carries a QR code with a unique, unguessable link that allows anyone holding it — typically roadside inspectors and the parties to the transport — to download the document without signing in. Treat that link like the document itself.
• Signed consignment/control documents are retained for at least one year to meet transport-law retention duties; orders carrying such documents cannot be deleted during that period.

Fuel receipts and invoices may be read by automated (AI) extraction. Extracted values are proposals that the account holder must review and confirm; Tacho Manager does not guarantee extraction accuracy. Consumption anomaly flags are indicative and depend on the odometer and fill-up data recorded.

Payroll amounts, consumption statistics and similar computed figures are estimates derived from the available data and do not replace the employer's own payroll, accounting or legal obligations.

The service may evolve over time and features may be changed, updated, restricted or discontinued. Access may also be suspended temporarily for maintenance, security, billing or operational reasons.

Tacho Manager may restrict or suspend access where necessary to protect the platform, enforce these terms, respond to legal obligations or address misuse. Users may also request account deletion through the available support or verified deletion channels.

For support and troubleshooting, authorised platform administrators may open a logged, time-limited session inside your account. Such sessions are recorded with the administrator's identity, the target account and the time, cannot delete data or perform billing operations, and are used only to the extent necessary to resolve the request.
